4a. Adding Signatories

In this section you declare all individuals who have the legal authority to sign the Merchant Agreement and bind your business entity, along with any significant beneficial owners (individuals who directly or indirectly hold 10% or more stake). Every required profile must have complete KYC before the section is marked "Complete".

Who Must Be Added?

Entity Type	Who to Add
Sole Proprietorship	The proprietor. Their details may be pre-populated — check if status shows "Incomplete".
Partnership	All active partners.
LLP	All designated partners as per the LLP Agreement.
Private Limited Company	All directors named in the Board Resolution who are authorised to sign, and all significant beneficial owners (individuals who directly or indirectly hold 10% or more stake).
Trust	All trustees authorised to execute contracts.
Society	All managing body members authorised under the resolution.

Note: For Private Limited Companies, complete KYC for every significant beneficial owner holding 10% or more stake, and provide a Beneficial Owner Declaration signed by the authorised signatories for upload in the Document Repository section.

Step 4a.1 — Review Pre-Populated Signatory (if any)

For Sole Proprietors, your details may already appear in the Signatory tab. Check the status:

Complete — No action needed. Move to the document uploads.
Incomplete — Click the signatory record and fill in all missing fields.

Step 4a.2 — Add a New Signatory

Navigate to the Signatory tab on your Application Status Dashboard.
Click "+ Add New Signatory".
Fill in the following fields:

Field	Required	Notes
First Name	✅	As on the signatory's PAN card.
Last Name	✅	As on the signatory's PAN card.
Designation	✅	Director, Partner, Trustee, Proprietor, etc.
Personal PAN Number	✅	The signatory's individual PAN — not the company PAN.
Email Address	✅	The Aadhaar E-Sign link will be sent to this email in Stage 6. Verify carefully. A typo here means the signatory never receives the link.

Step 4a.3 — Upload KYC Documents for Each Required Person

All three of the following must be uploaded for every required person in this section, including each signatory and each significant beneficial owner. The profile will not show "Complete" until all three are present and accepted.

PAN Card	✅	PDF, JPEG, PNG	Personal PAN of the signatory individual. All four corners visible.
OVD	✅	PDF, JPEG, PNG	Any one of: Aadhaar Card, Passport, Voter ID (EPIC), Driving License. Used for identity and address proof.
Passport-size Photograph	✅	JPEG, PNG	Clear, recent, colour photo against a plain background. No sunglasses, no selfies. Used for backend facial KYC matching.

Step 4a.4 — Repeat for All Required People

Repeat Steps 4a.2 and 4a.3 for every required signatory and every significant beneficial owner.

The Signatory tab will only display the green "Complete" badge once every required profile is fully completed with all three documents uploaded and accepted.

Important: Signatory Email Is Used for E-Sign

⚠️ Verify Signatory Email Carefully The email address you enter for each signatory is where the Aadhaar E-Sign link will be sent in Stage 6. A typo in this email means the signatory never receives the link, and your application cannot progress until the issue is corrected. Double-check every signatory email before saving.

What Happens Next

Once the Signatory tab shows "Complete", proceed to:

Both must also be complete before you can proceed to Stage 5: Final Submission.

Common Issues

Issue	Resolution
Signatory shows "Incomplete" despite uploads	Check that all three documents (PAN, OVD, Photograph) are uploaded. A missing photograph is the most common cause.
Private Limited Company marked incomplete	Check that every authorised signatory and every significant beneficial owner holding 10% or more stake has complete KYC and the Beneficial Owner Declaration has been uploaded in the Document Repository.
E-Sign link not received later	Navigate back to this tab and verify the signatory's email for typos.
Need to add a signatory not initially listed	Click "+ Add New Signatory" at any point before Stage 5 submission.
